Provision to cover refunds
The Society has received income from "non-members" of approximately £8,000 dating back to April 2019.  These are payments prior to  April 2019 when the Society adopted a new membership website and payment system that enabled them to pay by direct debit or card. These payments are being received from members of the Society who were members prior to 2019. Some of these people have successfully re-registered on the new system and may be paying twice, but the vast majority are from lapsed members who have not re-registered on the new system. These payments are largely untraceable and can not be ceased by the Society as they are made to one of two bank accounts by STANDING ORDER.
The Treasurer and Administrator have attempted to contact these "non-members" using the information available to us within the exiting and historical (paper based) membership systems - offering a choice of a refund or asking whether this money could be treated as donation to the Society's funds. To date, approximately 20% (by value) have elected for a refund.
In order to calculate a Provision within the accounts to cover future refunds from non-members and taking a conservative view of the possible refunds the 2020-21 Accounts show a provision of £1,800, in the eventuality that 25% or less of these non-members seek a refund.
It is anticipated that both of the bank accounts that receive these monies will be closed by the start of the 2022-23 financial year (when the large proportion of these non-member payments are normally made). Thereby making it impossible for any further payments to be received.
If there is any unspent monies left of the £1,800 Provision by the end of the 2022-23, it has been decided that it will be counted as additional income and any further requirement for refunds to non-members will be small enough to be funded from within the Society's normal annual income.
